Accessibility

Are your various venues ADA accessible?
Yes, all of our rentable venues are ADA compliant.


Admission

Do our guests have to pay admission to get into the EAA Aviation Museum for our event?
Depending on the location of your event, museum admission for your guests may or may not be included in your rental fee. Please inquire for more details.


Outside Vendors

Can I rent the venue only and bring in all my own vendors?
All furniture and equipment (including but not limited to staging, lighting, tables, chairs, dance floors, and kitchen equipment) must be rented through one of EAA’s preferred vendors.

You may work with vendors for entertainment, linens, floral services, photographers, etc. at your own discretion. All vendor deliveries and arrival times must be coordinated through an EAA Event Coordinator.

Do you have a list of vendors you recommend?
Yes, your designated Event Coordinator would be happy to provide some vendor recommendations.


Catering

Does EAA provide onsite catering for my event?
EAA’s onsite catering can supply food and beverage for small groups dependent on event needs. Please provide guest counts and specific needs to your Event Coordinator to see if EAA’s onsite catering would be an option for your event.

Does EAA have a list of approved caterers that can assist with my event?
All food and any nonalcoholic beverages not provided by EAA must be provided by one of EAA’s approved caterers. We work exclusively with our list of approved caterers to ensure the highest level of service and execution throughout your event as our caterers are extremely familiar with our facilities. We offer 12+ different caterers that offer a wide variety of cuisine styles and price ranges to fit the vision and budget for your event. Caterers are bound by EAA’s rules and regulations regarding safety, security, parking, fire prevention, sanitation, as well as state and local laws and regulations. All billing is handled directly through the approved caterer and client.

Can I bring in my own dessert?
All dessert items must be provided by a licensed baker.


Alcohol / Beverage Service

Are we allowed to bring in alcohol?
EAA holds the alcoholic beverage license for all EAA facilities and all alcohol on EAA premises must be contracted through EAA’s Food and Beverage Manager. All applicable laws regarding the license must be observed. No outside alcohol is allowed to be brought on premises.

Alcohol brought in by clients, guests, or wedding parties will be disposed of immediately or guest may be asked to vacate the premises.

What other fees will apply when serving alcohol?
A bartender fee of $100 per bartender will be applied to your post-event invoice. An 18% service charge will also apply to the gross sales of alcohol consumed at your event, which is consistent with the industry standard.

Do you offer beverage packages?
We offer two beverage tiers – premium and standard. However, all beverage services are customizable to fit your needs and budget. Any special beverage requests will be accommodated to the best of EAA’s abilities. We love creating signature drinks customized to each event!


Audiovisual

Does EAA have options included and/or for rent to accommodate my event audiovisual needs?
Various rental spaces throughout the EAA Aviation Museum may include or have rental capabilities of audiovisual equipment. Please inquire for more details.


Decorations

Are we allowed to bring in decorations?
All decorations should be approved by your Event Coordinator prior to your event. Due to the nature of our facility and the rare aircraft within our museum, we prohibit the use of items such as glitter, confetti, rice, birdseed, flower pedal, bubbles, glow sticks, bouncy balls, or balloons. Taping, pinning, stapling, or nailing into walls, floors, or exhibits is also prohibited. All décor, signage, tables, and other event items must be freestanding and placed outside the exhibit barriers.

Does EAA provide decorations?
EAA has a limited supply of linens, in-house centerpieces, chalkboard signs, ceremony trellises, and various other items that are available for rent. Please inquire for more details.

Are candles permitted at my event?
No open flames (i.e. candles) are allowed in EAA facilities. Battery operated tea lights are allowed.

Can we get into our event space early for setup?
EAA will contract specific setup time for your event in which you will be allowed access to your venue(s) prior to your event. We do the best to give you amble time to set up.

Are we allowed to bring in additional furniture (chairs, tables, etc.) or equipment?
All furniture and equipment (including but not limited to staging, lighting, tables, chairs, dance floors, and kitchen equipment) must be rented through one of EAA’s preferred vendors.

Can we return the day after our event to clean up?
All items must be removed immediately after the event, unless specific arrangements are made prior to your event with your EAA Event Coordinator. EAA staff will work with caterers on table breakdown and room clean up after event.


Photography/Videography

Are we allowed to take photos or video on the EAA grounds before, during, or after our event?
We welcome you to take photos before or during your contracted event time at EAA. However, as more than one event can take place at EAA and the EAA Aviation Museum is open to the public between the hours of 10a – 5p, please be courteous to others and maintain social distance.

Please note- pictures are only allowed on the grounds if you have rented the facility for your event and all sessions must be coordinated in advance between the client and an EAA Event Coordinator.


Restrooms

How many restrooms are in the EAA Aviation Museum?
There are five public restroom locations in our museum. Each location has separate women’s and men’s facilities, both with multiple stalls. Designated changing tables are located in each women’s bathroom. Alternative locations for men needing changing tables can be arranged.

Do we need to rent additional portable restrooms for venues on the EAA grounds?
Depending on the location and estimate attendance of your event, we may need to rent portable restrooms. We work with you and our provider to determine the appropriate number of units for your event, and facilitate the coordination of these services.


Insurance

Does EAA require insurance for events held on their premises?
All events that take place within EAA facilities or on grounds require proof of insurance with the exception of weddings or events contracted by a single individual. Please inquire for more details.


Parking

Where do guests park for events at the EAA Aviation Museum?
Guest parking is limited to 350 cars (visitor parking lot). Additional parking may be available, but is dependent upon weather and time of year. Please inquire for more details through your Event Coordinator. For larger events outside the museum, a custom parking plan is created for each event.

Do guests have to pay for parking?
Parking in the visitor lot is free of charge.


Security

Does EAA provide security during my event?
Security is required for the duration of your event for the safety and benefit of your guests. EAA provides this service in-house and in most cases, it’s included with your facility rental at no additional cost. Staffing levels will vary and are customized for each event. These staffing requirements will be included in banquet event order (BEO) between EAA and the client. Should your event requirements change after contracting any of EAA facilities due to a change in size or activities of your event, additional charges may apply to accommodate increases in staffing requirements.


Smoking

Does EAA allow smoking on the premises?
No smoking or vaping is allowed within the EAA Aviation Museum, Pioneer Airport Hangars, or other EAA facilities. Smoking and vaping is permitted outside in designated smoking areas.


Concealed Weapons

Does EAA allow concealed weapons on the premises?
EAA does not permit the right to carry concealed weapons within the EAA facilities or on grounds.


Facility Rental(s)

How do I book my event at EAA?
To secure an event date, a signed contract is required along with a 50% rental deposit and security deposit. Additionally, proof of insurance may be required and can be discussed with your EAA contact at time of booking.

What type of payment do you accept?
We accept cash, check, or credit (Visa, MasterCard, Discover, and American Express). Checks can be made payable to Experimental Aircraft Association or EAA.

Once my event is booked, what are the next steps?
You will be assigned an EAA Event Coordinator to assist with fulfillment of your event including but not limited to venue logistics, event décor, catering, and/or vendor communication. If interested in full event planning services (budget, vendor contracts, event design, day-of coordination, etc.), please contract an outside or independent Event/Wedding Planner to assist with your event.


EAA Onsite Contact

Is there an EAA staff member available the day of my event to assist guests, answer questions, or help me with my event?
Yes, you will be assigned a dedicated Event Coordinator to assist with your event. He/she will ensure that all vendors, caterers, event guests, and the client adhere to EAA’s policies and is available to answer questions. The Event Coordinator will arrive one hour before the start of your event, unless otherwise specified. End time is pending client’s requests and needs. When your Event Coordinator departs, onsite contact information will be provided by him/her to you (the client) for the remainder of your event. EAA is not responsible for the cleanup, set up or tear down of items brought into the facility by the client, client’s vendors, or event guests. To avoid confusion, please designate one contact person for your event logistics. This person will work directly with the Event Coordinator.


Availability

Does EAA hold event dates tentatively while I consider my options?
Yes, we will hold an event date for up to two (2) weeks after a written request. If not contacted within the two week timeframe, an EAA Event Coordinator will reach out prior to releasing the date to other event inquiries. An event will not be considered confirmed or officially reserved until a signed contract and 50% rental deposit and security deposit are received.


Venue Tours

Can I stop by for a tour?
We would be happy to give you a tour! Tours of the EAA Aviation Museum or grounds are by appointment only. For availability, amenities, rental rates, or to schedule a tour to view the venues or the grounds, please contact our Events Team at 800-300-9290 or events@eaa.org. Tours are available Monday-Friday between 8:00 a.m. and 5:00 p.m.
