Get Ready for EAA Chapter Renewal for 2027

October 2026 — As a lead officer in your chapter, we want to introduce you to EAA Chapter Renewal and provide you with the information you need to understand the upcoming chapter renewal process, as the time is coming soon for EAA chapters to renew their charters and insurance for 2027. The renewal portal will become available in early November 2026, so now is a great time for your chapter to prepare for completing the renewal process.

What Is EAA Chapter Renewal? Chapter Renewal is the formal easy-to-use online process for all chapters to renew their charter with EAA HQ and to enroll in the EAA-provided chapter liability insurance program. The renewal process is easy and straightforward when the chapter officer in charge of renewing the chapter has the names and EAA member numbers of their officers and program coordinators. We make the renewal process easy for chapters by prepopulating the online chapter renewal portal with the names of the current calendar year’s officers and coordinators. The chapter officer in charge can simply update the renewal portal with any upcoming changes.

What if We Don’t Know Yet Who Our Upcoming Officers Are? Go ahead and complete the renewal process with the names of the existing officers and submit by December 31. Any changes to the chapter roster (officers, coordinators, leaders) after renewal can be communicated to us in the EAA Chapters office after your chapter elections are finalized via a Smartsheet link. You will also be able to alert us to other changes to your chapter such as chapter contact information or date and time of your gathering via the same link.

What Is the Chapter Renewal Period? Chapter Renewal for 2027 begins on or around November 2 and ends on December 31, 2027, at which time all chapters are expected to be renewed. Chapters who are not fully renewed may not participate as an EAA chapter.

A Few Helpful Tips to Prepare for Easy Renewal: All officers must be current EAA members.  Know the names of your EAA chapter leaders such as officers, board members, and coordinators along with the chapter gathering location, date, and time. In addition, renewal is the time to select to purchase the annual chapter liability insurance coverage level that the chapter is electing to purchase for 2027.

The names and EAA numbers of any new officers and leaders coming on board will need to be manually entered into the renewal portal. Having this information on hand during the online renewal process will make renewal fast and easy. Remember to declare your chapter leadership positions such as IMC/VMC, Young Eagles, and Ray Scholarship coordinators, and the like.

How Does Chapter Renewal Fit Into the EAA Chapter Recognition Program? Great question! To better understand some of the programs and activities that chapters participate in, EAA looks at the leadership positions listed in the renewal portal, so be sure to include the names and positions of all your suggested membership positions. For additional chapter recognition credit opportunity, be sure to look for and complete the annual Chapter Recognition Credit Submission Form. This is typically available in the ChapterGram newsletter and by email solicitation to the chapter officers.

What Are the next steps? The Chapter Renewal email will be sent to each chapter’s president, vice president, secretary, and treasurer. The email will contain instructions specific to renewal and the renewal process as well as the link to the Chapter Renewal portal itself.
